How TokoMenus handles personal data on tokobots.com, on the TokoBot device and in the TokoBots software.

This website
tokobots.com doesn't use analytics or advertising cookies. When you order by email, we keep your name, store details, phone number and address to process the order, deliver the device, handle warranty claims and meet tax and accounting rules.
The device: when it listens
The TokoBot device only sends audio after it hears its wake word or someone presses its button, and its light ring shows when it's listening. Speech is turned into text to carry out requests; the text and the resulting actions (for example, “accepted order 45”) are stored with your TokoMenus store so your team can see what happened.
Customer calls, WhatsApp and email
If a store turns on these features, TokoBots processes the caller's or sender's phone number or email address, what they say or write, and a summary of the conversation, so it can answer, book, take orders and pass the conversation to the store. The store decides whether calls are recorded and is responsible for telling customers and getting consent where the law requires it. TokoBots tells customers they're talking to the store's assistant.
Who processes your data
- TokoMenus, which stores your store, menu, order and conversation data
- The AI model your store connects: an AI provider through your own API key (their terms and data policies apply), or a model you run locally or on your own cloud, in which case the data stays with you
- Cloud hosting for the TokoBots service
- Phone, WhatsApp and email providers, if you use those features
- A weather provider, which receives only your store's location
- Delivery apps and payment gateways you connect, under their own terms
We don't sell personal data.
How long we keep it
- Conversation transcripts and call recordings: 30 days by default; stores can choose a shorter period
- Store, menu and order data: while the TokoMenus account is active, as described in TokoMenus' policy
- Order and invoice records for device purchases: as long as tax law requires
Security
Data is encrypted in transit, access is limited to the people and systems that need it, and every action TokoBots takes in a store is logged with who asked for it.
Your rights
Under the Digital Personal Data Protection Act, 2023 you can ask to see, correct or delete your personal data, withdraw consent, and nominate someone to act for you. Customers of a store should contact the store first; we help stores respond. Write to us using the contact details below.
Changes
If we change this policy, we update the date above and, for significant changes, tell stores by email.
